Privacy Policy

This policy explains how Retena handles customer data when workspaces connect WhatsApp conversations, contacts, voice notes, search, summaries, and team settings.

1. Data we collect

Depending on how a workspace uses Retena, we may collect and process:

  • Account details such as name, email, workspace, role, settings, and authentication metadata.
  • Connected WhatsApp identifiers, connected-device status, group names, private chat labels, phone numbers, contact names, and workspace membership data.
  • Messages, voice notes, transcripts, translated transcript display, summaries, search queries, search results, source references, and review signals from conversations selected by the workspace.
  • Usage and billing metadata such as plan, seat counts, voice minutes, AI search credits, group counts, storage estimates, invoices, and subscription status.
  • Operational data such as logs, error traces, device/browser information, security events, and support communications.

2. How we use data

Retena uses data to provide and improve the service, including capture, transcription, translation, search, summaries, notifications, billing, support, security, abuse prevention, compliance, and product analytics.

We do not sell customer conversation data.

3. Automated processing

Retena uses automated systems to transcribe voice notes, generate summaries, answer searches, translate content, route processing, and monitor quality. These systems are used to provide the product and may involve trusted subprocessors under contractual controls.

Customer content is not used to train public, general-purpose AI models by Retena. If this policy changes, we will update this page and provide notice where required.

4. When data is shared

We share data only as needed to provide and protect Retena, comply with law, process payments, operate infrastructure, support users, investigate abuse, or complete a business transaction such as a merger or acquisition.

Within a workspace, admins and members may see content according to role, settings, and sharing approvals. A private chat shared with the team becomes visible according to the workspace sharing rules.

5. Retention and deletion

Retention depends on plan settings, workspace choices, legal needs, backups, and operational requirements. Workspaces may request export or deletion where available and legally permitted.

Some metadata may be retained for security, billing, dispute resolution, compliance, or service integrity after content deletion.

6. Your choices and rights

Depending on your location, you may have rights to access, correct, export, delete, restrict, or object to certain processing of personal data. Workspace admins can manage team members, settings, shared chats, and connected conversations inside Retena.

7. International processing

Retena and its subprocessors may process data in multiple countries. We use safeguards designed to protect data according to applicable requirements.

8. Children

Retena is intended for adults and business use. It is not directed to children under 18.
